We're looking for a new Secretary to join the PPCA Board of Trustees



The Pells Pool Community Association (PPCA), the charitable trust responsible for overseeing the historic Pells Pool in Lewes, is seeking a committed and well-organised individual to join the Board as Secretary.


This is a vital role at the heart of one of Lewes’s most valued community assets.

As Secretary, you’ll help ensure the Board operates effectively, transparently, and in line with charity governance best practice.


You’ll also play a part in supporting the long-term stewardship of the Pells Pool as an environmentally responsible, socially inclusive community resource.


Key responsibilities:


Board governance support

  • Prepare and circulate Board agendas in consultation with the Chair

  • Coordinate Board and committee meeting dates and ensure all members receive timely notice

  • Attend meetings, take accurate minutes and maintain a clear record of decisions and actions.


Regulatory and compliance duties

  • Ensure the PPCA meets all statutory and constitutional requirements as a charitable trust

  • Oversee the timely submission of annual reports, returns and filings to the Charity Commission and other relevant bodies

  • Maintain up-to-date governance documents, policies and the register of trustees’ interests.


Administration and record-keeping

  • Maintain orderly records of meetings, governance documents and trust correspondence

  • Support the induction of new trustees

  • Act as a key point of contact for formal communications to and from the Board.


Ethos and commitment

  • Uphold the PPCA’s values of community benefit, fairness, openness and environmental responsibility

  • Champion good governance and decision-making that supports the long-term sustainability of the Pells Pool for future generations.


What we’re looking for:

  • Strong organisational and communication skills

  • Experience in administration or governance

  • Charity/trust experience, secretary role previously held, helpful but not essential

  • Ability to maintain confidentiality and work with accuracy and integrity

  • Commitment to community service and good stewardship of local resources

  • Willingness to attend Board monthly meetings.


Time commitment

The role is voluntary and flexible, with a typical commitment of six hours a month, including attendance at Board meetings.

The PPCA trustees are volunteers who manage the Pells on behalf of the community; the charity raises funds to renovate and improve pool equipment and facilities. We’re passionate about the Pells; we know we’re incredibly lucky to have this incredible community asset and we want it to be there for the people of Lewes and the surrounding areas for many years to come.
